Administrative Manager

We are looking for a full-time administrative assistant/personal assistant with experience in website design and maintenance, property management, construction related experience, with fluency in Mandarin. The successful candidate will support our leadership team with strategy and implementation, and also be responsible for the operational and technological platform upon which the organisation operates. Areas of management and responsibility include data entry, dealing with our clients/service users, overseeing office tasks, purchasing, facilities, technology, and compliance, diary management and planning.

Responsibilities:

  • Facilities – maintaining and coordinating the office and organising and maintaining all office supplies.

  • Bookkeeping/Xero entries and supervision re intake and processing of invoices and purchases/orders; supervision of Accounts Payable and Accounts Receivable, Reconciling and Maintaining Budget vs. Actual report.

  • Office Secretarial Tasks, drafting letters when needed, dealing with client enquiries. Responsibility for copies and printing.

  • Compliance– managing, tracking, processing and payment of various governmental and organisational compliance issues (ie. insurance, local taxes, fees, permits, policies)

  • Technology– managing, maintenance of technology infrastructure including photo copier, internet, phones, online accounts and communicating with the webmaster as needed.

  • Project management - assisting with the initiation, planning, managing, executing and completing of the projects we enter into.

  • Design - responsible for designing, translating and updating company website.

  • Multilingual Chinese - will need to be able to converse and write in the multiple Chinese dialects of Mandarin, Cantonese and Taiwanese.

  • Investor Acquisition – proactively contact and schedule investor meetings with overseas clients.

  • Exhibition and Event planning - Responsible for finding, booking and arranging company Exhibitions based in Mainland China, Hong Kong and Taiwan quarterly.

  • Education and Experience:

  • University degree a plus but will consider applicants with at least a high school diploma

  • Experience working as a secretary or managing an office for 2 years minimum would be a plus.

  • Specific Knowledge and Skills:

  • Meticulous attention to detail and excellent organisational skills.

  • Strategic thinker who knows how and when to take initiative and is a problem solver.

  • Basic events planning ability, from conception through execution.

  • General computer literacy.

  • Can upload, download, and manipulate files, for email and scanning facility with online tools and services.

  • Responsible, punctual, diligent, proactive.

  • Is able to work as part of a team and can also work alone.

 

Job Type: Part-Time or Full-Time.

Salary: £23,000 - £30,000 gross P.A. for full-time (40 hours per week) -Please include a cover letter with your resume.​​

Administrative Duties:

  • Scheduling and diary management

  • Carrying out requests from management as needed

  • Answering emails and sorting post

  • Booking keeping and accountancy works on excel and Xero software

  • Spreadsheet management and updating

  • Subcontractor management

  • Translation of text from Mandarin Chinese to English and from English to Mandarin Chinese

  • Manage investor relations

  • Organise travel in China and Taiwan.

  • Answering phone calls and transferring them as necessary

  • Managing website functions and social media

Financial Duties:

  • Expense reports

  • Processing payments

  • Billing

  • Purchasing
